Investment Operations & Contract, Licensing and Registration Assistant
(Full Time & In Office) JOB DESCRIPTION
Primary Duties:
* Open and distribute mail. Prepare outgoing NMIS pouch mail or overnight mail.
* Maintain daily bank deposits, check and order logs for Agency Supervisory review/approval.
* File and log appropriate correspondence and forms.
* Processes account maintenance requests.
* Support the Investment Operations Manager with various administrative projects on an ad-hoc basis
* Using Home Office systems, administer, input, track and follow-up on requirements and appropriate paperwork for contracting, licensing or registration of personnel. This includes new personnel, changes to existing personnel or termination of personnel.
* Provides information on the technical requirements of the contracting, licensing and registration process to appropriate personnel.
* Act as liaison between the Network Office and Home Office throughout the entire contracting, licensing and registration processes.
* Act as liaison between the Network Office and background investigation company for requesting and follow up of inspection reports. Flag findings to the Managing Partner and/or Director of Network Office Supervision for determining appropriate action.
Skill Set:
* Strong oral and written communication skills required; ability to clearly present information through spoken or written word, read and interpret information. Good listening skills needed as well with a customer and team focus.
* Ability to multitask is required; action-oriented personality is required.
* Ability to maintain a high degree of confidentiality is essential.
* Ability to use high degree of diplomacy in handling difficult situations.
* Ability to problem solve and take action in solving problems while exhibiting judgment and a realistic understanding of the core issues; able to use reason; able to review facts and weigh options.
* Strong organizational skills needed and attention to detail.
* Able to maintain high quality standards, despite pressing deadlines.
* Ability to think on your feet and adapt to a fast paced, changing environment.
* Must be proficient in Microsoft programs (Word, Outlook & Excel).
* Ability to be a team player.
