Equity Research Administrative Assistant Location San Francisco, CA : Dodge and Cox is seeking an experienced Administrative Assistant to join our Equity Research team. The successful candidate will be primarily responsible for performing general office duties, that include scheduling and calendar management, assisting in the preparation for internal and external meetings, collecting and organizing meeting materials, and assisting to set agendas. They will also be responsible for tracking and coordinating all domestic and international travel and preparing expense reports. This person must be highly professional, discrete, and maintain a positive demeanor and strict adherence to confidentiality. They must be flexible and self-motivated. As an Equity Research Administrative Assistant, this person will work closely with other members of the Equity Research team, our Analysts, Portfolio Managers and Traders. This position requires strong attention to detail, excellent communication skills, and an ability to work in a collaborative team atmosphere. Attractive Factors:

Primary responsibilities include: - Calendaring and coordination of on-site meetings within the Equity Research Department
- Detailed Committee scheduling, including tracking materials and correspondence
- Setting up meetings with company management and sell-side research analysts
- Internal 1x1s
- Arrange meetings and collect research materials in preparation for industry conferences, management visits, and regional and country research trips
- Utilize various tools like, FactSet, Street Events, Factiva, AlphaSense, etc. to fulfill Analyst requests for company news, earning reports, and sell-side reports
- Maintain electronic research filing system for domestic and international companies
- Assist with weekly and quarterly distribution of materials to Equity Research Department
- Coordinate all travel arrangements, domestic and international, including visa applications
- Prepare conference rooms, assist with set up of AV and videoconferencing
- Organize and submit Analysts' expense reports
- Ensure investment professionals' “devices” are up-to-date and functioning accurately by working closely with IT to troubleshoot technology
- Perform general office duties, including managing Outlook contacts, scanning and organizing meeting notes, and report distribution
- Assist in other ad-hoc tasks and projects as requested, including backing-up and assisting other Administrative Assistants and the switchboard as needed
Qualifications Candidates should be intellectually curious, detail-oriented, service-oriented, responsible, reliable, proactive, and team-oriented. In addition: - Four-year college degree preferred
- 5+ years of experience as an Administrative Assistant in the financial services industry
- Experience working with and troubleshooting multiple devices and operating systems
- Proven ability to thrive in a business environment, demonstrating self-motivation and drive
- Ability to prioritize calmly under pressure while remaining friendly and professional
- Outstanding interpersonal skills
- Outstanding organizational skills and great follow through
- Demonstrated ability to follow work processes and meet deadlines
- Maintain high proficiency with Word, Excel, PowerPoint, Outlook, and Adobe Acrobat
- Proven ability to learn quickly and use software systems proficiently and willingness to learn, use and recommend new technologies
The salary range for this position is $100k - $120k. The listed pay scale denotes only the pay range of the base salary and does not include discretionary bonus compensation, which may make up an important portion of the total remuneration.
