Job Description

Position Overview:

We are expanding our proposal department to meet the growing needs of our firm and are seeking a Proposal Writer to join our team in Syracuse, New York, or from one of our other offices across the state. Hybrid remote flexibility will be considered for qualified candidates. Those in the Northeast are highly preferred . Applicants must be authorized to work in the United States without the need for current or future sponsorship. We are seeking a proposal professional with direct experience preparing proposals for agencies like New York State Department of Transportation, New York State Thruway Authority and other similar governmental agencies.

The ideal candidate is detail-oriented, skilled in writing and editing, and thrives on developing results-driven, high-quality responses to government agency RFPs. The Proposal Writer will lead and support proposal efforts from initial opportunity tracking through final submission. Success in this role requires excellent communication skills, the ability to meet deadlines, manage multiple projects, collaborate across departments, and contribute to business development goals.

Key responsibilities include researching and tracking RFPs and RFQs via government portals (such as NYS Contract Reporter) leading the development of responses to RFQ's /RFP's, developing and updating resumes, project descriptions, firm qualifications, and maintaining proposal documentation.

What you'll be able to do:

  • Monitor RFQ/RFP postings for new opportunities.
  • Lead the development of responses to RFQs/RFPs, including proposals, qualifications, and presentations from gathering information to completing and submitting the proposals.
  • Collaborate with technical and management staff to gather and develop proposal content.
  • Maintain and update proposal resources: staff resumes, project profiles, firm information, photos, and templates.
  • Organize and manage proposal files and submission materials.

The minimum requirements we seek:

  • Bachelor's degree in communications, Journalism, Marketing, Engineering/STEM, Technical Writing, or a related field preferred.
  • Minimum of 3 years of direct experience preparing proposals for the New York State DOT, New York State Thruway Authority or for other New York State, local, or federal government agencies is strongly preferred.
  • Prior experience in the AEC industry (architecture, engineering, or construction).
  • Excellent writing, editing, and verbal communication skills.
  • Strong time management, organizational, and multitasking abilities in a deadline-driven environment.
  • Proficiency with Microsoft Word, Excel, PowerPoint, Adobe Acrobat, MS Teams and SharePoint.
