Position Information Job Title Office and Outreach Assistant Appointment Type Student Employee Job Location Corvallis Position Appointment Percent 100 Appointment Basis 12 Pay Method Hourly Pay Period 16th - 15th of the following month Pay Date Last working day of the month Min Hourly Rate $14.20 (Standard); $13.20 (Non-Urban); $15.45 (Portland Metro) Max Hourly Rate $21.00 (Standard); $20.50 (Non-Urban); $21.50 (Portland Metro) Position Summary This recruitment will be used to fill one part-time (a maximum of 24 hours per week) Office and Outreach Assistant for the Office of the Vice President for Finance and Administration (VPFA) at Oregon State University (OSU). The Office of the Vice President for Finance and Administration (VPFA) is seeking an Office and Outreach Assistant with graphic design, media and communications technical skills. This position supports the VPFA executive assistant with general office support, event and project support. This position will support and collaborate with members of the VPFA Office team to complete clerical tasks with an emphasis on creating and editing documents, flier and digital media to support outreach and events for the Division of Finance and Administration. This opportunity reports directly to the Executive Assistant to the Vice President providing technical and media support to the office while giving students a chance to gain the experience, knowledge and skills to develop and produce specific media an communications projects for higher education administration. Position Duties - 40% - Assist with events and prepare materials (including media) as requested.
- 35% - Support the office of the Vice President for Finance and Administration with office communications, including updates to faculty and staff mailing lists, editing/proofing documents, graphic design and content development for print and website, newsletter proofing/editing; photo editing; creating documents, posters and videos content.
- 25% - Support administrative projects for the Office of the Vice President for Finance and Administration by assisting with clerical projects, logistical and administrative processes for the office.
Minimum Qualifications Full Employment Eligibility Requirements can be found here: - Must be academically enrolled in a high school, community college, or university and pursuing a program or course of study
- Must meet Academic Standing Requirements; students on academic suspension are not eligible for employment
- Must meet the applicable minimal enrollment standard
- High School student: Regularly enrolled in a high school or participating in a home-schooling program
- Undergraduate and post-baccalaureate student: 6 credit hours per term
- Undergraduate international student: 12 credit hours per term*
- Graduate student officially admitted to Graduate School: 5 credit hours per term
- Graduate international student officially admitted to Graduate School: 9 credit hours per term*
- International students may be allowed to carry fewer hours than specified above and still be considered “full-time” by the United States Citizenship and Immigration Services (USCIS). A reduced course load is approved by the Office of International Services (OIS), and must be provided to the Student Employment Center.
Additional Required Qualifications - Strong interpersonal skills; ability to work as a team member and effectively interact with co-workers using a collaborative style
- Ability to work independently, prioritize projects and proactively seek guidance from supervisor
- Experience working in a professional office environment
- Must possess an exceptional eye for detail and excellent organizational skills
- Proficiency in Microsoft Excel, Word, PowerPoint and Outlook, Adobe Design Suite
- Willingness to learn new software as needed
- Experience working with images and developing media materials
- Excellent verbal and written communication skills
Preferred (Special) Qualifications - Preferred experience with Drupal and Qualtrics
- Familiarity with OSU branding guidelines
- A demonstrable commitment to promoting and enhancing diversity
Working Conditions / Work Schedule During the academic and summer months, an average of 20-hours per week. Up to 40 -hours per week may be possible during off-academic periods. Work will be performed in a typical office environment and on location at events on campus. This is a part-time position non-benefits eligible. The student employee may be required to maneuver up to 25 pounds of weight including boxes, files or packages for delivery, and event setup.
