You will build a comprehensive inventory across a portfolio of luxury residences. Your mission is to create a unified, real-time asset management system that ensures seamless property operations, impeccable stock levels, and precise auditing of the family's possessions. Key Responsibilities This role combines strategic system design with hands-on execution. Inventory Management Create and manage a digital inventory system tracking consumables and assets across multiple properties Lead audits to ensure real-time data accuracy of stock Implement strict SOPs for inventory labeling, categorization, storage, and issuance Manage tracking and relocation of high-value items (e.g., fine art) in collaboration with Internal Audit and Security teams Ensure procedures align with family preferences, security protocols, and financial audits Procurement & Logistics Use benchmarked methods to forecast and manage supply needs, eliminating waste and ensuring seamless service Oversee the procurement process, from requisition to final stocking Analyze usage patterns to optimize stock levels and recommend cost-saving solutions Data Integrity & Reporting Ensure accurate data using Excel, inventory software, SharePoint, and Maintain X. Create high-level reports for senior management on key metrics (stock valuation, consumption, turnover) Prepare inventory summaries for reconciliation and capital expenditure planning Ideal Candidate Profile: Experience in Private Estate Operations We are seeking a candidate who views organizational systems as a professional passion and has direct experience managing inventory in a non-commercial, private setting. Qualifications & Experience Minimum 5 years of progressive experience in inventory management, supply chain logistics, or asset management, with a demonstrated minimum of 2 years managing inventory within a private residence, yacht, or high-end luxury hospitality environment. A proven track record of designing and implementing from-scratch inventory or asset management systems. Advanced proficiency in Microsoft Excel (required) and experience with a recognized inventory/asset management Bachelor's degree in Business, Supply Chain Management, Project Management, or a related field is strongly preferred. Skills & Competencies Hyper-Detail Oriented: Possesses surgical attention to detail; able to spot discrepancies, manage SKUs, and maintain complex systems without oversight. Ability to transition seamlessly between macro-level system design and micro-level execution (e.g., physically organizing a storage room). Exhibits the highest standard of confidentiality, maturity, and polish required to operate within a private family environment. Comfortable with a significant travel schedule ( 50-60%), including extended stays during peak operating periods, and adept at maintaining organization across multiple, dynamic locations. Schedule Generally, Monday Friday, business hours, with some flexibility The Family Office is open to flexible scheduling arrangements that are mutually beneficial. For example, a candidate may work six days per week during a two-week travel period and then receive additional days off upon return.
