Job Description

QuietWaters Ministries is a Christian nonprofit organization grounded in biblical principles, offering Counseling Intensives and Spiritual Formations to pastors, missionaries, and Christian leaders globally at our Retreat Center.

A proficient Executive Assistant is a dynamic professional who embodies the love of Christ. This person is adaptable, comfortable performing a variety of roles. Skilled in managing a broad array of administrative and executive support tasks, this individual thrives on working autonomously with minimal supervision. They should be highly organized, adaptable, and take pleasure in the administrative challenges of assisting executive leadership.

Responsibilities:

  • Manage scheduling for CEO
  • Draft, review and send communications on behalf of CEO
  • Organize and prepare for meetings, including gathering documents and attending to logistics of meetings
  • Answer and respond to phone calls, communicate messages and information to the CEO
  • Prioritize emails and respond when necessary
  • Coordinate travel arrangements
  • Maintain various records and documents for the leadership team

Executive Assistant Skills and Qualifications

  • Excellent written and verbal communication skills

  • Strong organizational skills
  • Highly proficient problem- solving skills

Duties:

  • Organizing CEO meetings and managing scheduling
  • Preparing CEO correspondence: ;etters, presentations, and reports
  • Implementing and maintaining procedures/office administrative system
  • Data management: managing the organization's functions by keeping records up to date and updating documents
  • Convening and servicing annual general meetings (AGMs)/meetings (producing agendas, taking minutes, conveying decisions, and handling meeting correspondence)
  • Providing support to leadership committees on specific projects

Prerequisites:

  • Personal relationship with Jesus Christ and a lifestyle consistent with this commitment
  • Agreement with QuietWaters Ministries' Statement of Faith
  • Personal integrity and a passion for excellence
  • Highly organized and demonstrated attention to detail
  • Bachelor's degree

Experience:

  • Proven experience as an Executive Assistant to CEO/COO
  • Proficient in Microsoft Office 365 (Required)
  • Exhibited knowledge and ability of database administration (Required)

Job Type: Full-time

Pay: $22.50 - $26.00 per hour
